Website Intake Assistant

The 11pm inquiry gets an answer at 11pm.

A chat on your firm's website that greets a prospective client, collects their details, saves them to Matter Management and drafts a follow-up for an attorney to review. Nobody has to log in. Nothing is sent to the visitor for you.

How it works

1

Build it in the builder

Name it, write the greeting, set its instructions, pick the button color and add your logo. A preview shows exactly what visitors will see.

2

Paste one piece of code on your site

The builder gives you a short piece of code. Your web person pastes it into your website, and the chat button appears.

3

It talks to the visitor

It greets them, asks about their matter one question at a time, and collects their name, phone number, email address and any key dates.

4

The firm gets the lead

When the visitor leaves an email address, the contact is saved to Matter Management, a follow-up is drafted for an attorney to review, and the firm is emailed.

Watch it work

Two visitor conversations on two fictional firm websites. The cursor types the visitor's messages. On the right is what the firm receives. The saved summary and follow-up are shortened samples.

What it includes

Greeting and instructions

You write what it says first and how it behaves. The default instructions collect name, phone and email, ask about the matter and key dates, say an attorney will follow up within one business day, and never give legal advice.

Short replies

One to three short sentences, under 70 words, one question at a time.

Contact saved to Matter Management

When an email address appears, the name, phone number and a two-to-three sentence matter summary are saved as a new Inquiry. The same email address is never saved twice.

Follow-up draft

A short, warm email from the firm to the visitor, saved with the contact for an attorney to review, edit and send. It is never sent for you.

Email to the firm

The firm administrator is emailed the lead and the draft. Nobody has to log in to find out.

AI notice

A permanent line in the chat says it is an AI assistant, that the conversation is recorded and shared with the firm, and that it is not legal advice.

Your branding

Your own logo on Professional and Enterprise, a button color you choose, and an optional label next to the button such as "Chat with us". The "Powered by Ramtek Intelligence" line can be removed on Enterprise.

Runs on any site

It loads from a short piece of code and works on an ordinary website, including one built on a website service.

Test before you publish

A preview and a test chat inside the builder, so you see the real conversation before a visitor does.

How the quality is controlled

No legal advice

Its instructions tell it never to give legal advice, and to say an attorney will advise when asked.

It says it is an AI

The notice stays visible in the chat, so no visitor believes they are talking to a person or an attorney.

One question at a time

Short replies keep a worried visitor from being handed a wall of text.

Nothing sent for you

The follow-up is a draft. An attorney reads it before anything reaches the visitor.

No duplicates

A visitor who chats again with the same email address does not create a second contact.

Hard to misuse

Attempts to turn it into a general chatbot are steered back to intake, and a conversation has a size limit.

What it does not do

It does not advise

It collects facts. The attorney advises.

It does not send for you

No message goes to the visitor on the firm's behalf.

It does not book or charge

It does not schedule consultations or take payment.

It does not decide who to take

It does not accept or reject a matter. The attorney decides what to do with every inquiry.

Your firm

Set it up once. It sounds like your intake desk.

You decide how it greets visitors and what it asks them.

Name and greeting

The name visitors see and the first message they read.

Instructions

What it asks, what it avoids and what it promises, in your words. Practice-specific questions go here.

Look

Your logo, a button color that matches your site and an optional label next to the button.

How firms use it

After hours

Inquiries at night and on weekends get a first conversation instead of a missed call.

Personal injury intake

Collect the date of the injury and the injury itself before the first call.

Family law

A calm first conversation for a visitor who may not want to phone.

Landlord and tenant

Gather move-out dates, notices and amounts so the attorney starts informed.

Immigration

Collect status, country and the question before the consultation.

Overflow

When the front desk is busy, visitors still leave their details.

Each visitor message uses one AI action from the firm's monthly usage, which is 400 per person on Core and 700 per person on Professional. See pricing.

Your visitors' information

What happens to what visitors type.

Visitors are prospective clients, so the answers are written down in plain terms.

Recorded and shared with the firm

The notice in the chat says so. The conversation is saved for the firm, and the contact is visible to the attorneys at the firm.

Not used to train AI

Our AI provider's terms prohibit using what we send to train its models. It may keep requests for up to 30 days for safety monitoring, then deletes them.

Kept apart by firm

Each firm's contacts and conversations are visible only to that firm. Connections are encrypted.

Your notices apply

You are responsible for the notices and consents that apply to your own website, and Ramtek processes the chat on your behalf.

Questions

What firms ask before they start.

Is the assistant giving legal advice?

No. Its instructions tell it to collect details and never give legal advice. If a visitor asks for advice it says an attorney will be able to advise them. A permanent notice in the chat also says it is an AI assistant and that the chat is not legal advice.

What does the visitor see?

A chat button on your site, and a notice that they are chatting with an AI assistant, that the conversation is recorded and shared with the firm, and that it is not legal advice.

What happens when a visitor leaves an email address?

The assistant reads the conversation once, saves a contact to Matter Management with the name, phone number and a short matter summary, drafts a follow-up for an attorney to review, and emails the firm. If the same email address chats again, no second contact is made.

Does it email the visitor?

No. Nothing is sent to the visitor on the firm's behalf. The follow-up is only a draft, saved with the contact and emailed to the firm.

Who gets the lead email?

The firm's administrator. The contact itself is shared, so every attorney at the firm sees it in Matter Management.

How long are its replies?

One to three short sentences, under 70 words, and one question at a time, so it reads like a person typing.

Can I change what it says?

Yes. You set the name visitors see, the greeting, the instructions that shape its behavior, the button color and an optional label next to the button. The default instructions ask for name, phone and email, the nature of the matter and any key dates.

Can it carry my firm's logo?

Yes, on Professional and Enterprise. The "Powered by Ramtek Intelligence" line can be removed on Enterprise only.

How do I put it on my website?

The builder gives you a short piece of code to paste into your site. It works on an ordinary website, and your web person can add it in a few minutes.

Can I try it before I publish it?

Yes. During the free trial you can build the assistant and test it in the builder, but it cannot go live on a real website until you are on a paid plan.

Can someone misuse it as a general AI chatbot?

It is built to refuse. If a visitor tries to turn it into a general-purpose assistant it steers back to your intake questions. It also limits how long a conversation can run.

Does it count toward our monthly AI actions?

Yes. Each visitor message uses one of the firm's monthly AI actions. If the allowance is used up, the chat tells visitors it is temporarily unavailable.

What are our responsibilities?

You are responsible for the notices and consents that apply to your own website and visitors, and for following up on leads. If your instructions promise a reply within one business day, the firm needs to keep that promise.
